Rent Receipt and Data Entry Specialist

The primary focus of the Receipt & Data Entry Specialist is to enter daily rent receipts into the Yardi database and communicate with other YWCA Housing staff related to rent receipts for over 850 units of permanent housing. This position must effectively communicate with property site staff and others and assist Administrative Analyst and Revenue Manager to complete month end reporting to Accounting Services. The position will also be responsible for inputting resident data into both Client Track databases and will communicate effectively with property site staff and work with Client Data Services to maintain accuracy and complete audit requests as needed. The Specialist also completes & reviews resident compliance related paperwork and Application paperwork.

  • Download Key Bank Lockbox daily deposit report, review for accuracy and resolve unknown entries prior to posting.
  • Review, process and post in Yardi, all rent receipts daily
  • Identify, analyze, and resolve rent receipt variances with Yardi system data.
  • Process, follow up & resolve RFIs (request for information), and FYI notices to site staff and Housing Operations staff related to rent receipt variances.
  • Verify, resolve, and process Live Checks returned by Key Bank. Communicate with property site staff using established notices to insure timely posting.
  • Complete, monitor for accuracy, and provide to Housing Ops Revenue Mgr, Daily Rent Receipt Calculations Report, Non Lockbox Summary Report for Section 8, internal YWCA rent assistance and other Contract Subsidies received. Insure on time completion and accuracy
  • Copy, process, and mail every day, all rent payments received by Housing Operations dept according to Housing Operations established internal control procedures.
  • Verify and record processed payments to appropriate check logs.
  • Back up to Administrative Analyst for DND/Eviction list.
  • Maintain accurate revenue files of all rent receipts. Annual file transfers and archive preparation are included.
  • Assist Administrative Analyst & Housing Revenue Manager with daily tasks as needed
  • Keep Housing Administrative Analyst and Housing Revenue Manager informed on status and completion of all rent receipt RFI and FYI notices and any other rent receipt related information
  • With assistance from Housing Administrative Analyst and Housing Revenue Manager, develop solid working knowledge of all Housing Operations systems, procedures, and Yardi database systems


  • Input resident data into Client Track and Clarity databases
  • Monitor data forms for accuracy and follow up and resolve missing or inaccurate or incomplete data with site staff to maintain data accuracy and integrity
  • Provide reports to site staff, Housing Mgmt, and others as requested
  • Complete Data Accountability Requests from Client Data dept as needed throughout the year
  • Coordinate with Client Data staff to participate in ongoing Client Track and Clarity training and system changes or upgrades to maintain accurate and complete Housing resident data
  • Maintain accurate Resident Data files to facilitate ongoing data accuracy and integrity


  • Reviews income and asset verification for housing applicants and annual re-certifications for current residents
  • Completes Tax Credit compliance paperwork for properties as directed which includes, but is not limited to, timely notification of annual reviews, and conducting re-certifications with existing tenants before deadlines
  • Assures that all first-year files from each property have been copied and filed in an “off-site” and/or central location
  • Participates in educational classes, workshops, and presentations regarding County Housing Authorities, WSHFC Tax Credit Training, Seattle Office of Housing, HOME

Qualifications & Core Competencies:

  • Minimum 1-year experience in a position that included data entry and attention to detail
  • Basic office experience and skills including organizational skills, and working with changing priorities
  • Experience with Microsoft Office applications; Word, Excel, Outlook
  • Flexibility and willingness to learn and update skills to meet job requirements
  • Ability to be flexible, supportive and to work cooperatively with co-workers as a member of a diverse team
  • Ability and willingness to work independently and as part of a team and to make sound judgments with limited supervision
  • Experience working with communities of color and people from different cultures than your own
  • Demonstrated commitment to anti-racist principles
  • Demonstrated understanding of the intersection of racism and poverty
  • Experience with property management databases such as Yardi or Boston Post preferred
  • Experience entering data into Client Track and HMIS databases preferred

Hours, Rate & Benefits:
  • Hourly rate: $15.38-$17.50
  • Hours per week: 30-40
  • FLSA Classification: Non-Exempt.

  • At the time of hire, employees may choose to voluntarily enroll in the Fidelity 403b Plan. Typically after two years of employment, employees are eligible to participate in the YWCA Retirement Fund.
